POSITION PURPOSE:

To enter and complete all orders and related information into the computer in an accurate and timely manner.

KNOWLEDGE/SKILLS/ABILITIES/EXPERIENCE

  • Able to enter 360 order lines per minute. (Alpha numeric data entry)
  • Ability to use ten-key by touch.
  • Basic reading, writing and arithmetic skills are required to interpret customer orders and convert order quantities into selling units.
  • Beginning skills in Microsoft Word and Excel programs or similar software helpful.
  • Order entry background helpful.
  • Familiarity with Oracle Order Entry module helpful

ESSENTIAL DUTIES

  • Performs order entry into the computer by translating and applying all relevant information according to procedure and current Sales and Customer programs.This includes converting order quantities into selling units, translating items into proper packaging and sizing codes and applying all terms and prices of Sales and Customer programs to orders and order revisions.
  • Initiates the print process on Sales Order Acknowledgements.
  • Checks information keyed from purchase orders to verify order accuracy on item numbers, quantities, special discounts, prices, payment terms, shipping information and special handling.
  • Makes decisions according to written procedure on invalid item numbers, quantities ordered, product substitutions, product availability, sales programs and other general information.
  • Performs data entry on order returns by translating and applying all relevant information according to procedure.This includes applying appropriate pricing, converting return quantities and proper item numbers.Enters revisions on returns as directed according to procedure.
  • Communicates verbally and in writing when necessary all order entry problems to Customer Service, Credit and Engineering Change.
  • Notes any changes from the original PO on the order acknowledgement to update customer.
  • Books orders and RMA’s upon completion.
  • Applies and releases Customer and Order pick release holds according to procedure.
  • Researches un-booked Orders to be sure the reported order status is correct.
  • Enters file maintenance in all support files such as Customers, Discounts, Customer Item numbers, EDI Trading Partners and Price Lists as directed.
  • Performs daily product reservations on specified orders.
  • Enters order cancellations.
  • Maintains order “Problem Box” and sends reminders on the order holds when the ship date has been reached.
  • Maintains files on Order Acknowledgements, file maintenance source documents and Program Plan Sheets.
  • Sorts and processes the mailing of customer Sales Order Acknowledgements.
  • Observes all safety and good housekeeping regulations of the department and/or the company.

PHYSICAL ENVIRONMENT AND WORKING CONDITIONS

  • Must be able to work and remain focused on detail in an open office environment where other department phone and business conversations are a part of the environment.
  • Must be able sit at a PC and perform data entry for 80% of the 10 hour work day.
  • Must be able to stand, stoop, twist, reach and bend for significant periods of time in order to file documents into 4-drawer file cabinets.Also, must be able to lift 30-50 lbs in order to perform file transfers.
  • Must have visual acuity to read and transfer purchase order information into order entry format.
  • Office environment with occasional trips into a manufacturing area.
